OFFICIATE Privacy Policy

The Privacy Policy applies to all users of the Officiate mobile, website and web application and related services (the “App”). 

 

 

1. Who are we 

The App is provided by Officiate Ltd, a company incorporated in England and Wales with registered number 15050370 and its registered address at: 91 Peterborough Road, London, SW6 3BU.

 

This App enables A Users to connect with each other to arrange and manage sports fixtures, activities, events and/or services (the “Purpose”).

The App may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. Please note that these websites and any services that may be accessible through them have their own privacy policies and that we do not accept any responsibility or liability for these policies or for any personal data that may be collected through these websites or services. Please check these policies before you submit any personal data to these websites or use these services.

2. What data do we collect about you?

We currently may collect and process the following personal data about you:

  • Identity Data: first name, last name, title, date of birth.
  • Contact Data: home address, email address, telephone numbers and Identification Number.
  • Financial Data: bank account details.
  • Device Data: includes the type of mobile device you use, a unique device identifier (for example, your device’s IMEI number, the MAC address of the device’s wireless network interface, or the mobile phone number used by the device), mobile network information, your mobile operating system, the type of mobile browser you use, and time zone setting. 
  • Content Data: information stored on your device, including photos, videos or other digital content, that you choose to upload to the App.
  • Usage Data: includes details of your use of our App including, but not limited to, traffic data and other communication data, and the resources that you access.
  • Marketing and Communications Data: includes your preferences in receiving marketing from us and our third parties and your communication preferences. 
  • Location Data: includes your current location (but please note that you can choose to turn off the sharing of location data).

We do not collect any special categories of personal data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

3. How and why do we process (or use) your data?

Pretty much everything we do with your personal data counts as processing it, including collecting, storing, accessing, using, amending, transferring and deleting it.

Most of the personal data we have about you is data you provide to us when you register as a user of the App and create a profile.

Once created, you can update your registered profile information at any time.

We will only use your personal data when the law allows us to do so. Most commonly, we will use your personal data in the following circumstances: 

  • Where you have consented (in which case you have the right to withdraw your consent at any time by contacting us).
  • Where we need to perform a contract we are about to enter or have entered with you.
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
  • Where we need to comply with a legal or regulatory obligation. 

Where we are using your personal data based on your consent, you have the right to withdraw your consent at any time by contacting us.

Marketing communications

We will only send you direct marketing communications by email or text if we have your consent. 

We will get your express opt-in consent before we share your personal data with any third party for marketing purposes.

 

Sharing your personal data with third parties

Your personal information is not shared with any third party unless it’s necessary for you to be able to use the App and is in connection with the Purpose defined in Section 1. 

We do not transfer your personal data outside the UK.

4. How do we collect your data? 

You provide us with your personal data directly via our App including when you download the App, register to use the App, create a profile and use the App.

Personal data may also be collected by phone or email if you choose to contact us and share personal data via these channels. 

5. Keeping your data secure 

All data you provide to us is stored on secure, cloud-based servers.  

  • External Third Parties such as:
    • ​Service providers acting as processors based outside of the UK who provide IT and system administration services, such as google Services.
    • Professional advisers acting as processors or joint controllers including lawyers, bankers, auditors and insurers based in the UK who provide consultancy, banking, legal, insurance and accounting services.
    • HM Revenue & Customs, regulators and other authorities acting as processors or joint controllers based in the UK who require reporting of processing activities in certain circumstances.
    • Other members of the Officiate app or website based in the UK who require identity and contact data for the provision or receipt of services.
    • Specific third parties such as Takepayments.
    • Third parties to whom we may choose to sell, transfer or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy policy.

Where you have chosen a password that enables you to access the App, you are responsible for keeping this password confidential. Please do not share the password with anyone. 

We use strict procedures and security features to try to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way. 

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator when we are legally required to do so.

 

6. Cookies 

We use cookies to help run our App, to distinguish you from other users of the App, to remember your preferences and to identify and prevent security risks.  This helps us to provide you with a good experience when you use the App and allows us to improve the App. 

We do not use any cookies for marketing purposes.

7. Data retention 

We will retain your personal data for as long as necessary to fulfil the purposes we collected it for, or, if longer, in order to fulfil any legal, accounting or reporting requirements. 

To determine the appropriate retention period for each category of personal data, we consider the amount, nature, and sensitivity of the data, the potential risk of harm from unauthorised use or disclosure of the data, the purposes for which we process the data, whether we can achieve such purposes through other means, and any relevant legal requirements. In some circumstances we will anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

8. Your rights 

You have the following rights in relation to the personal data we collect about you:  

  • Rights to access. The right at any time to request copies of personal data we hold about you.   
  • Right to correct. The right to have your personal data rectified if it is incorrect. You also have the right to ask us to complete information you think is incomplete.
  • Right to restrict or stop us from processing your information.  The right, in certain circumstances, to stop or limit the way we use your information. 
  • Right to erase.  The right to request we delete personal data relating to you in certain circumstances. 
  • Right to data portability.  The right, in certain circumstances, to request that we transfer your personal data to another organisation, or to you.

9. Changes of ownership and business control 

If the ownership of our business changes, we may need to transfer your personal data to the new owner so they can continue to operate the Apps and provide the related services. The new owner may use your personal data in the same way as (and will be obliged to comply with the terms) set out in this Policy. 

10. Changes to this privacy policy 

Any changes we may make to this policy in the future will be posted on this page and, where appropriate, notified to you by e-mail. Please check back frequently to see any updates or changes to this policy. 

11. Your duty to inform us of changes 

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during our relationship with you.
